Preamble

These General Terms and Conditions for the rental of rooms for events contain the rental conditions and the house rules of the two companies Vienna Vision Village GmbH and Startup House V2 e.U., hereinafter referred to as "Contractor". These General Terms and Conditions are an integral part of the offer. They apply to all rental and usage conditions, unless otherwise agreed in writing in individual contracts.

 

1. Acceptance of Terms

By accessing or using the services provided by the Contractor, you agree to be bound by these Terms.

2. Eligibility

You must be at least 18 years old to use our services. By agreeing to these Terms, you represent and warrant that you meet this age requirement.

3. Booking and Payment

  1. All prices quoted are net prices.

  2. All room bookings are subject to availability.

  3. Any use of the event rooms requires an offer in written or electronic form by the contractor and confirmation in written or electronic form by the client.

  4. The confirmation needs to be sent by the client within 5 business days; otherwise, the offer is revoked,

  5. Additional to 3.3, the booking for the client is binding upon confirming the contractor’s offer in written or electronic form. The booking for the contractor is binding upon receiving a deposit by the client of 50% of the total gross booking amount.

  6. Payment must be completed within 5 work days after the invoice had been issued or as agreed.

  7. If no payment was received, warnings incur an extra charge of 40€ processing fee as well as 9.2% p.a. overdue interest.

  8. The client agrees to provide accurate and complete information when making a booking.

4. Cancellations and Refunds

  1. Cancellations made more than 14 days before the scheduled check-in time will incur a 50% cancellation fee.

  2. Cancellations made less than 14 days before the event start date will incur an 80% cancellation fee. Following the final invoice, the remaining gross amount needs to be paid within 5 work days.

  3. Cancellations made less than 48 hours before the check-in time will not be refunded. Following the final invoice, the remaining gross amount needs to be paid within 5 work days. It is at the discretion of the contractor whether or not a different date is found.

  4. Catering cancellations, i.e. through the reduction of participant numbers in case of sickness, can be made for up to a maximum of -10% of the requested and confirmed offer up to 10 days in advance. For catering cancellations of later than 10 days, a 100% cancellation applies. Example a: 100 pax dinner party is reduced to 90 (-10%) participants two weeks ahead: the charge will be reduced to 90 (-10%) participants. Example b: 100 pax dinner party is reduced to 89 (-11%) particpants two weeks ahead; the charge will be reduced to 90 (-10%) participants. Examble c: 100 pax dinner party is reduced to 95 (-5%) participants 6 days ahead; the charge will remain 100 participants (-0%).

  5. Postponement of bookings within our venues incur in the same fees as a cancellation.

 

5. Travel

Parking in front of the venues is highly prohibited. We recommend using public transport or a parking garage in the surrounding area.

6. Use of Property

  1. The Client is required to use the rented room for lawful purposes only.

  2. The Client must not cause damage to the property or any part of the premises. Any damages will be covered by the Client or the Client's insurance.

  3. The Client must maintain the property in a clean and orderly condition.

  4. The Client may only use videos and photos commercially by prior arrangement.

  5. The moving of general furniture such as in the Lumia Atrium is prohobited.

  6. Animals are strictly forbidden.

 

7. Liability

  1. The Contractor is not liable for any loss, damage, or injury sustained by the Client or any third party during your stay.

  2. The Client agrees to indemnify and hold the Contractor harmless from any claims, liabilities, or expenses arising from your use of our services.

 

8. Termination

The Contractor reserves the right to terminate the Client’s booking or restrict the access to their services at any time without notice if the Client breaches these Terms.

 

9. Amendments to Terms

The Contractor may amend these Terms at any time by updating the terms on their website. The Client’s continued use of the Contractor’s services constitutes acceptance of the amended terms.

 

10. Code of Conduct for Event Location Rentals

Respect and Courtesy All guests and staff must treat each other with respect and courtesy.

  1. Equality and Inclusion
    Discrimination and racism based on gender, age, religion, origin, sexual orientation, disability, or any other reason are strictly prohibited. The Contractor reserves the right to issue bans from the premises.

  2. Safety and Well-being
    The safety and well-being of all attendees are of utmost priority. Any form of harassment, threat, or violence is forbidden.

    The Client agrees to follow all safety and security guidelines provided by the Contractor.
    The Client is responsible for his own and their third-party's safety and the safety of their belongings while using the Contractor’s services.
    The Client must not engage in any illegal activities or conduct that endangers the safety of others.

  3. Responsible Use
    The facilities and equipment of the event location must be treated with care and respect. Damage or vandalism will not be tolerated.

  4. Cleanliness and Order
    If the Client’s use of the premises creates unusual stains or excessive dirt, which requires the Contractor to organise additional cleaning, the Contractor will charge an additional cleaning fee. Waste must be disposed of according to the specified waste separation guidelines.

  5. Compliance with Legal Regulations
    All guests must comply with all applicable laws and regulations.

  6. Smoking and Alcohol Consumption
    Smoking is only permitted in designated outdoor areas. Irresponsible alcohol consumption is prohibited.

  7. Communication and Conflict
    Resolution-open and respectful communication is encouraged in the event of problems or conflicts. Issues should be resolved promptly and fairly.

  8. Violations and Consequences
    Violations of this Code of Conduct may result in expulsion from the event and legal consequences.

 

11. Standard Amenities Included in Room Booking

Individual amenities apply based on the room type booked. Standard amenities include:

Loft by the Lake

  • Lake Theatre, 70m²: Beamer, projector and screen, sound system, 2 microphones, 1 whiteboard, 1 flipchart, Wifi/Internet connection, and extra equipment (on request).

  • Park Studio, 26m²: 75” screen, up to 14 chairs, meeting table, Wifi/Internet connection, 1 whiteboard, 1 flipchart, and extra equipment (on request).

  • Park Gallery, 38m²: 75” screen, up to 20 chairs, Wifi/Internet connection, 1 whiteboard, 1 flipchart, and extra equipment (on request).

  • Atrium, 90m²: 2 microphones, sound system, Wifi/Internet connection, 1 whiteboard, 1 flipchart, and extra equipment (on request).

  • Lake Terrace, 300m²: 2 microphones, sound system, Wifi/Internet connection, 1 whiteboard, 1 flipchart, and extra equipment (on request).

  • Lake Bistro, 60m²: 2 microphones, sound system, Wifi/Internet connection, industrial kitchen, TV screen, 1 whiteboard, 1 flipchart, and extra equipment (on request).

Lumia

  • Lumia Hall, 2x 75m² (150m²): 2 TV screens, 2 microphones, sound system, Wifi/Internet connection, 1 whiteboard, 1 flipchart, and extra equipment (on request).

  • Lumia Gallery, 65m²: Screen, Wifi/Internet connection, 1 whiteboard, 1 flipchart, private toilets, and extra equipment (on request).

  • Sky Room, 46m²: Round table, up to 14 chairs, TV screen, Wifi/Internet connection, flipchart(s), and extra equipment (on request).

  • 360° Room, 46m²: Round table, up to 8 chairs, TV screen, Wifi/Internet connection, 1 whiteboard, 1 flipchart, and extra equipment (on request).

  • Nature Room, 20m²: Table, up to 8 chairs, screen, Wifi/Internet connection, 1 whiteboard, 1 flipchart, and extra equipment (on request).

  • Oak Room, 20²: Table, up to 8 chairs, screen, Wifi/Internet connection, 1 whiteboard, 1 flipchart, and extra equipment (on request).

  • Cloud Room, 20m²: Table, up to 8 chairs, screen, Wifi/Internet connection, 1 whiteboard, 1 flipchart, and extra equipment (on request).

12. Common Area Usage

The Atriums of Loft and Lumia cannot be booked exclusively and need to be accesible by third-parties. Any exceptions must be arranged in writing in advance.

13. Outdoor Area Usage

The outdoor areas of the Loft can be used until 10 PM, and the outdoor areas of Lumia can be used until 8 PM. The terrace of the Loft can only be accessed by registered guests. Any exceptions must be arranged in writing in advance.

14. Registration

All guests and third-party suppliers must be registered by the Contractor or the Client. If the list is operated by the Client, the Contractor can ask for its presentation at any time before and after the event.

15. Insurances

The Contractor can request proof of adequate insurance coverage by the Client. The cost of any required liability, property, and personal insurance for the event shall be borne by the Client. If asked, the insurance policy must be presented to the Contractor 10 days before the start of the event.

16. Governing Law

These Terms are governed by and construed in accordance with the laws of the Republic of Austria. Any disputes arising from these Terms shall be resolved in the courts of Commercial Court of the City of Vienna.
